Medicare Setup

Setting up Medicare:

To set up Medicare from the Kavanii website, please click on settings and choose Medicare:

Medicare and the Department of Veteran’s Affairs (DVA) funded services provided to an individual by the Australian Government for their Citizens / Residents.

You can submit patient, bulk bill, and Department of Veterans Affairs claims via a secure internet connection. Payments for bulk billed services are deposited directly into your nominated bank account in 2-3 working days. It also makes it easier for you to help patients claim their Medicare benefits on the spot.

Patients can receive their benefits electronically, usually the next working day, by providing their bank account details to Medicare. If you already have Medicare Online, switching on patient claiming in your software is easy. To find out more, contact Medicare or your Kavanii support team.

The first step for Medicare is to request a Minor ID:

To link to Medicare Online, you must practice or location(s) Minor ID For use with Kavanii. Please note that you will need a new Medicare Location ID even if you already have an existing one from another system. Click the Request Minor ID button to allocate a Minor ID or Location ID for your clinic(s) or location (s).

Once requested, the Minor ID will be displayed as shown below:

Click on next to register for a Proda account:

Before registering your organization in PRODA, you must create an individual PRODA account if you still need to create one.

 To create an individual account, you must verify three forms of valid Australian Government-issued identity documents.

Register for an individual PRODA account: List of accepted documents is available on the Service Australia website. Detailed instructions on creating an individual PRODA account are available on the Services Australia website –

Register your Organization in PRODA:

To register an organization in PRODA, the organization must have an active Australian Business Number (ABN).

Before registering your organization, ensure that you are an associate or authorized contact for the organization on the Australian Business Register (ABR) and that your individual PRODA account name is the same as the name you recorded on the ABR.

You can join if you find that your organization has already been registered in PRODA. Detailed instructions on registering your organization in PRODA are available on the Services Australia website.

Once done, click on next.

After proda registration for an organization, we need to register for B2B devices under the organization. Devices need to be linked with Medicare:

Register a B2B device and extend your device registration expiry.

To use the Service Australia Online Claiming functionality, you must register at least one B2B device for your organization in PRODA.

Your device registration will expire after six months. Alerts will appear in the Notification section after successful login to Kavanii for 7 to 15 days, then daily up to the expiration date before your device expires. Select extend expiry to access the PRODA login page.

Login to PRODA -> Click Extend B2B Device Expiry; an alert will appear -> Click ‘Yes’ on the alert to extend the device expiry date.

(Your device registration will be extended for a further six months).

Ensure the correct time zone has been set in your system; if the correct time has not been set, this can cause issues when registering your B2B device or extending your expiry.

  1. Select the Login to PRODA button on the right-hand side of the screen to take you to the PRODA website in a new window.
  2. If your practice has multiple locations registered as subsidiary organizations in PRODA, ensure the correct minor ID has been selected from the Minor ID field.
  3. Click login to access the PRODA login page.
  4. Enter your PRODA username and password. A verification code will be sent to you as an email, SMS, or to the PRODA mobile app, depending on your settings in PRODA.
  5. Enter your verification code and click Next. The PRODA home screen will appear.
  6. Select Organizations in the top right corner of the screen. The My Organizations page will open.
  7. Select the organization that you wish to set up the connection for. “To Manage My Organization” page will open.
  8. If you connect a subsidiary organization to PRODA, open the Subsidiary Organisations menu and select the subsidiary organization you wish to connect.
  9. Select B2B Devices, then Register New B2B Device. The Register New B2B Device screen will appear.
  10. Navigate to Kavanii and Copy the B2B Device (Software Instance) field.
  11. Return to the PRODA Register New B2B Device screen and paste the content you copied from the B2B Device (Software Instance) field into the Device Name field.
  12. Enter a description if you wish and click Register Device.
  13. Copy and paste the Device Activation Code and the PRODA RA (Organization) number into the corresponding fields in Kavanii.

Please enter the device name, RA Number and activation code on this page and click on next to add the device.

Once the details are entered, the status will be shown as Active.

The details can be edited from the edit options.

The edited or updated history details will be shown from the above option.

Click on next to add members:

Add & Manage members of your organization in PRODA

Once you have registered your organization, you can add other members in PRODA to perform functions on the organization’s behalf. Any members you wish to add to your organization must create their own PRODA account. Details and instructions on adding members to your organization are available on the Services Australia website.

To add a staff member to your organization, you must know their PRODA RA number. Staff members can find their RA number by logging into their PRODA account. The RA number will be listed under Profile details.

Once they have been added, you can delegate attributes to members of your organization. Delegating a member an attribute allows them to perform functions on the organization’s behalf, such as adding or removing other members or adding and removing links to service providers, such as Medicare.

You can also nominate members of your organization to act on the organization’s behalf for a particular service provider, such as Medicare. Once members are added, we can configure minor IDs:

To become a Medicare / DVA service provider, you must have a Medicare provider number. A provider number is unique to health professionals who participate in the Medicare program. You can apply for a provider number through Services Australia if you do not already have one.
